Responsibilities
- Manage In-Office Project Construction Administration – Startup, Submittals, RFI’s, ASI’s, Sketches, Pay Apps, Change Orders, AUA’s, Pay App’s, and Closeout as directed by Project Manager (PM).
- Assist with project construction startup correspondence.
- Review and confirm new project tracking templates according to company CA Tracking Procedures.
- Review and confirm log receipt, forwarding, and return of correspondence as needed.
- Forward and return correspondence as directed by Project Manager.
- Review payment applications as needed.
- Review architectural submittals as needed.
- Review and coordinate consultant submittals received.
- Ensure all required engineer reviews are conducted. Follow up with consultants as needed until open issues are closed.
- Keep PM updated with emails & logs prior to construction meetings.
- Oversee preparation of contract-related documents as needed.
- Conduct site visits as needed.
- Compile field reports as required
- Manage On-Site Project Construction Administration. Construction administration shall be completed and carried out per industry standard of care.
- Attend OEM meetings as required.
- Document minutes.
- Follow up on action items.
- Coordination with client/owner regarding construction requirements and activities.
- Coordinate with engineering consultants throughout the construction phase to include site visits, inspections and RFI responses.
- Organize and review building plans.
- On-site QA/QC of construction.
- Regular coordination with the partner-in-charge and clear communication to the office staff.
- Develop cost estimates based on equipment, materials and labor requirements, where applicable.
- Provide external project closeout audit for each completed project.
- Final site inspection with consultants.
- Punch list.
- Review final project manual for completeness.
- Manage project warranty inspection follow-up process with consultants.
- Ensure all documentation complies with the company Document Retention Policy.
- Mentor less experienced staff.
- Evaluate all projects to ensure compliance regarding budgets for contract services and coordinate with the project manager to maintain estimates. Track all invoices and work orders.
- Maintain and keep track of project schedule to ensure compliance and timelines. Prepare an effective work schedule and coordinate with engineers. Make regular visits to the construction sites.
- Monitor an effective construction quality control program and ensure compliance to all construction regulations and prepare required documents and establish quality of all construction work for all contracts.
- Assist contractors to evaluate all contract documents and prepare reports for any deficiencies in the project. Adhere to all design and construction regulations at various locations to ensure effective maintenance of all project schedules.
- Perform OEM meetings and take minutes for all projects to develop and issue various construction documents and issue notices to contractors if required. Communicate with clients and recommend changes to the contract if required. Document all construction activities and evaluate progress of all projects and monitor all ad hoc requests and participate in various construction progress meetings and maintain records for all construction procedures.
- Collaborate with the design team, engineers and the GC to gather and evaluate all change orders and maintain records of all design processes and maintain logs to submit for approval.
- Monitor all drawings at various intervals and maintain records. Evaluate all applications for payment and recommend changes if required. Supervise efficient working of all employees and ensure compliance to deadlines.
- Adhere and comply to all company safety requirements and monitor all projects from conceptualization to implementation and prepare reports. Evaluate and execute punch list for all project closeouts.
- High education background in Construction Management, Construction Administration experience in an Architectural Design Office or in-field experience with a Contractor or Project Management Company preferred.
