Specifically, we are seeking a self-motivated, computer savvy, and organized Receptionist-Office Assistant to join our team in Scottsdale, Arizona. Responsibilities:
- Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Direct visitors by maintaining employee and department directories; giving instructions.
- Maintain safe, clean, and stocked reception area, break room, conference rooms, print room, and restrooms by complying with procedures, rules, and regulations.
- Monitor calendar and manage room readiness for all conference spaces.
- Assist with communications to all staff through MS Teams and Outlook email as needed.
- Support administrative staff with department projects and tasks as needed.
- Ordering and supplies management as directed.
- Coordinate monthly company lunch meetings and general lunch meetings including ordering food, set up, and clean up, etc.
- Scan documents and drawings as requested.
- Receive and distribute incoming mail and deliveries.
- Coordinate outgoing mail, deliveries, and shipments.
- Run errands as requested.
- Track company vehicle usage and maintenance.
- Liaison for office maintenance needs/contractor visits as required.
- Establish best practices and document all accounting procedures.
- Keep information confidential as required.
Required Qualifications:
- 1 year of recent experience in an office or hospitality position.
- Microsoft Office applications (Outlook, Excel, Word, Teams) – intermediate proficiency
- Adobe Acrobat or Bluebeam – intermediate proficiency
- Must be a self-starter and work independently with conflicting deadlines
- Attentive to detail and precision. Takes pride and ownership in their work.
